TERMS AND CONDITIONS & CANCELLATION POLICY
I. Contractual Relationship
These terms and conditions govern the relationship between the accommodation provider (Coelsol s.r.o., Velká Mikulášská 459/3, 669 02 Znojmo, Czech Republic, Company ID No.: 05600294, VAT ID No.: CZ05600294) and the accommodated guest.
Accommodation of guests at the Stará Pekárna accommodation facility is provided on the basis of an accommodation agreement concluded pursuant to Section 2326 et seq. of Act No. 89/2012 Coll., the Civil Code (of the Czech Republic), under which Coelsol s.r.o. (hereinafter referred to as the "Accommodation Provider") provides the accommodated person with temporary accommodation for an agreed period or for a period resulting from the purpose of the accommodation in premises designated for such purpose, and the accommodated person (hereinafter also referred to as the "Guest") undertakes to pay the Accommodation Provider for the accommodation and related services within the period specified in the payment and cancellation terms below.
The contractual relationship is established upon confirmation of the reservation and payment of the agreed accommodation price.
II. Payment and Cancellation Terms
- Payment: To secure a binding reservation, payment of 100% of the accommodation price in advance is required unless agreed otherwise.
- Cancellation Fees – Option 1: Free cancellation up to 14 days prior to arrival, i.e. a REFUNDABLE RESERVATION. In case of cancellation less than 14 days before arrival, a cancellation fee of 100% of the reservation price applies. In the event of earlier cancellation, the full amount will be refunded.
- Cancellation Fees – Option 2: Lowest available rate without cancellation option, i.e. a NON-REFUNDABLE RESERVATION. If a room was booked under the more advantageous non-refundable rate conditions, no cancellation or reservation modification is permitted. In the event of cancellation at any time after the reservation has been made, a 100% cancellation fee applies.
- Guests are recommended to arrange cancellation insurance with a commercial insurance provider (for example, Hotel Storno insurance).
III. Rights and Obligations of the Guest
Check-in / Check-out:
Upon arrival, the Guest is required to present a valid identity document for registration purposes in accordance with applicable legal regulations. Unless agreed otherwise, the Guest may use the apartment from 3:00 PM on the day of arrival. On the day of departure, the Guest must vacate the room by 10:00 AM. Late check-out may be charged according to the valid price list. For late arrivals (for prepaid stays), an electronic lock system is available.Liability for Damage:
The Guest is obliged to use the premises in a manner that prevents damage to the equipment or excessive soiling (including irreversible damage to bed linen or towels). In the event of damage to property, equipment, or the building, the Guest is obliged to report and fully compensate such damage prior to departure or based on an issued invoice.Interior Protection:
In order to protect the floors and historic furnishings, moving furniture or interfering with installations or equipment without the operator's consent is prohibited. Guests are required to change into indoor footwear. Slippers are available in the apartments to prevent damage or dirt to the floors caused by shoe soles. High-heeled shoes are prohibited on wooden floors.Quiet Hours:
Guests are required to behave considerately towards others and observe quiet hours from 10:00 PM to 7:00 AM.Smoking and Safety:
The entire property is non-smoking (including electronic cigarettes), and the use of open flames is strictly prohibited. Violation of these rules or tampering with fire safety detectors is subject to a fine of CZK 5,000. Smoking is permitted outside in the courtyard.Use of Fireworks:
The use of recreational pyrotechnics is prohibited in Znojmo.Pets:
Accommodation of pets is only possible upon prior agreement and for a fee according to the valid price list. Dogs that howl or bark may not be left unattended in the room. The owner is responsible for any damage caused by the animal.Keys:
Upon check-in, the Guest will receive a room key and hotel entrance key, an electronic key, and where applicable, a key or remote control for private parking (hereinafter collectively referred to as the "Keys"). The Guest is obliged to prevent loss, destruction, damage, or unauthorized access to the Keys by third parties who are not direct participants in the accommodation agreement concluded between the Guest and the Accommodation Provider. Loss, destruction, damage, or unauthorized disclosure of the Keys is subject to a fee of CZK 1,000.Departure Obligations:
When leaving the room, the Guest is obliged to turn off water taps, switch off lights and electrical appliances not in use during the Guest's absence, close windows, and lock the room. Upon departure from the property, the Guest shall return the room/house/parking keys to the reception desk or, if unattended, place them in the mailbox.Complaints:
The Guest is obliged to report any defects or deficiencies without undue delay during the stay. Complaints will be resolved no later than within 30 days.
IV. Other Provisions
The Accommodation Provider undertakes to hand over the room to the Guest in a condition suitable for proper use and to ensure the uninterrupted exercise of the Guest's rights.
The Accommodation Provider reserves the right to terminate the Guest's stay immediately without compensation in the event of gross violation of good manners, disturbance of quiet hours, or damage to property.
By submitting a reservation, the Guest confirms that they have read and agree to these terms and conditions.
V. Personal Data Protection
Personal data are processed for the purpose of fulfilling the contract and complying with legal obligations. Details are set out in a separate document titled "Privacy Policy".
VI. Final Provisions
These terms and conditions shall become effective on 1 January 2026.
The operator reserves the right to amend these terms and conditions.
PERSONAL DATA PROCESSING
The Accommodation Provider processes personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (GDPR). It is noted that, pursuant to the Civil Code, only a natural person may be accommodated and is hereinafter referred to as the "Guest".
The Accommodation Provider processes personal data (obtained from the Guest or from a person who concluded the accommodation agreement on the Guest's behalf) as follows:
Personal data necessary for the performance of the accommodation agreement and reservation (pre-contractual relations): first name, surname, email address, telephone number, stay dates, special requests, date of birth, preferences, address.
Personal data necessary for the provision of services related to accommodation. Sensitive personal data: dietary requirements, allergies (if catering services are provided). Ordinary personal data: vehicle registration number(s) (if parking services are provided), IP addresses, overview of consumed room service and restaurant services linked to the room, internet traffic data (if internet connection services are provided).
Personal data necessary for compliance with legal obligations imposed on the Accommodation Provider under Act No. 565/1990 Coll., on Local Fees, and Act No. 326/1999 Coll., on the Residence of Foreign Nationals in the Czech Republic and on Amendments to Certain Acts: first name, surname, date of birth, nationality, travel document number, visa number, permanent residential address abroad.
Personal data processed based on the legitimate interest of providing additional services related to the accommodation agreement or the Guest's stay at the hotel: first name, surname, email address, telephone number, stay dates, special requests, date of birth, preferences.
The Accommodation Provider processes Guests' personal data:
automatically through business management software and hotel reservation systems; and
manually through authorized employees.
Persons to whom Guests' personal data may be transferred or made accessible include:
the Foreign Police of the Czech Republic for the purpose of fulfilling obligations under Act No. 326/1999 Coll., on the Residence of Foreign Nationals in the Czech Republic and on Amendments to Certain Acts;
the City of Znojmo for the purpose of fulfilling obligations under Act No. 565/1990 Coll., on Local Fees.
The Accommodation Provider shall process personal data for the following periods:
five (5) years where relevant for compliance with obligations imposed by accounting regulations or other bookkeeping and accounting record management regulations;
three (3) years after termination of the accommodation agreement for data relevant to the performance of the accommodation agreement;
ten (10) years for data relevant to liability for damage caused by breach of the accommodation agreement, especially damage to items brought into or stored in the hotel.
The above processing periods may be extended where personal data are necessary for the exercise of the controller's legal rights or for proceedings conducted by public authorities or courts.
The Guest has the right to access and rectify personal data processed by the Accommodation Provider. The Guest has the right to erasure or restriction of processing only where personal data are processed exclusively on the basis of consent and no other legal basis for processing exists. The Guest also has the right to object to the processing of personal data.
Furthermore, the Guest has the right to obtain personal data concerning them that they have provided to the Accommodation Provider. Upon request, the Accommodation Provider shall provide the data without undue delay in a structured, commonly used, and machine-readable format or transfer them to another clearly designated controller. This right does not apply to personal data processed otherwise than by automated means.
If the Guest believes that their personal data are being processed unlawfully, they may lodge a complaint with the supervisory authority, which in the Czech Republic is the Czech Data Protection Authority (Úřad pro ochranu osobních údajů – uoou.cz).
